Privacy policy.
How we handle the personal information you share with us.
Last updated: 23 October 2026
At Yard B, we respect your privacy and take the protection of personal information seriously.
This policy explains what information we collect, why we collect it, how we use it and the steps we take to keep it secure.
We aim to keep things simple and only collect information that's necessary to run our business and work with our clients.
1. Who We Are
Yard B Limited is a film and animation studio based in the United Kingdom.
Company registration number: 10938510
ICO registration number: ZB173954
Website: www.yardbstudios.com
Email: hello@yardbstudios.com
Yard B Limited is the data controller for the personal information described in this policy. This means we are responsible for deciding how and why that information is used.
We process personal information in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, as amended.
2. What Information We Collect
When you contact us or work with us, we may collect:
- Your name, email address and contact details.
- Your company name and professional information.
- Information you provide through emails and project enquiries.
- Files, documents, media and other materials you share with us.
- Information relating to projects, contracts, invoices and payments.
Some of the information we receive may contain personal data about other people, particularly where clients provide project materials.
Our website hosting provider may also process limited technical information, such as IP addresses, browser information and server requests, to deliver and protect the website.
We do not intentionally collect personal information through website visitor tracking or advertising analytics.
3. How We Use Your Information
We use personal information where necessary to:
- Respond to enquiries and communicate with you.
- Discuss, plan and deliver projects.
- Share files and collaborate with clients, suppliers and other professionals.
- Manage contracts, invoices and business relationships.
- Maintain the security and reliability of our website and services.
- Meet our legal and regulatory obligations.
Under the UK GDPR, we rely on the following lawful bases where applicable:
Legitimate interests | To respond to business enquiries, communicate with clients and suppliers, maintain professional relationships and operate our business effectively. We balance these interests against your rights and freedoms.
Contractual necessity | Where processing is necessary to enter into or fulfil a contract with you.
Legal obligation | Where processing is required to comply with applicable laws, including financial and record-keeping requirements.
Where we process personal information on behalf of a client as part of a project, we may act as a data processor rather than a data controller. In those circumstances, the relevant contractual arrangements and the client's instructions govern that processing.
We do not sell your personal information.
4. Website Hosting, Analytics and Cookies
Our website is hosted by Netlify.
We do not use Google Analytics, advertising trackers or other visitor analytics services.
Netlify may process basic technical information to deliver the website, maintain its security, diagnose problems and prevent misuse.
We do not intentionally use cookies or similar technologies to track visitors for advertising or marketing purposes.
Essential technologies may be used where necessary for the operation or security of the website.
If we introduce analytics, advertising technologies or other non-essential tracking in future, we will update this policy and provide any information or consent controls required by law.
For further information, please see Netlify's Privacy Policy.
5. Contacting Us
Our website provides a direct email link for enquiries rather than an online contact form that stores submissions in a website database.
When you email us, we use the information you provide to respond to your enquiry and, where relevant, discuss or carry out work with you.
We use Google Workspace to manage our business email and communications.
Correspondence may be retained where appropriate for ongoing projects, business records or future reference, subject to the retention principles described below.
For more information about how Google handles information, please see Google's Privacy Policy.
6. File Sharing and Storage
We use third-party services to store, exchange and manage files securely as part of our work.
Dropbox Business
We use Dropbox Business to store, organise, share and collaborate on project files.
Files may include documents, images, video, audio and other project materials, some of which may contain personal information.
Access to files is managed according to project requirements and business needs.
For more information, please see Dropbox's Privacy Policy.
Receeva
For confidential or sensitive materials, we offer a secure file submission service through Receeva.
Receeva uses encryption to protect transferred files and automatically deletes them following download or expiry, in accordance with its retention settings.
You can send us confidential or sensitive files using our secure Receeva link.
Once we have downloaded a file, we may retain a copy where necessary for the project or purpose for which it was supplied. Deletion of a transfer from Receeva does not automatically delete copies subsequently stored by Yard B.
For more information, please see Receeva's Privacy Notice.
7. Sharing Information With Third Parties
We may share personal information with trusted service providers who help us operate our business.
These include:
- Google Workspace | Business email and communications.
- Netlify | Website hosting and infrastructure.
- Dropbox Business | Project file storage and collaboration.
- Receeva | Secure file transfers.
We may also share relevant information with contractors, creative collaborators, professional advisers or other parties where reasonably necessary to deliver a project or manage our business.
Where appropriate, we use contractual arrangements and confidentiality obligations to protect information shared with third parties.
We may disclose personal information where required by law or necessary to establish, exercise or defend legal claims.
We do not sell personal information to third parties.
8. International Data Transfers
Some of the services we use may process or store personal information outside the United Kingdom.
Our principal service providers include Google Workspace, Netlify, Dropbox Business and Receeva.
Where international transfers take place, we rely on appropriate data protection arrangements, including applicable UK adequacy regulations and recognised contractual safeguards where required.
We use service providers with documented privacy and security practices and take reasonable steps to protect the personal information we handle.
If you would like further information about international transfers affecting your personal information, including relevant safeguards, please contact us at hello@yardbstudios.com.
9. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected.
The appropriate retention period depends on the nature of the information, our relationship with you, the requirements of individual projects and any applicable legal or contractual obligations.
For example:
- Enquiries and correspondence may be retained where relevant to ongoing business relationships or legitimate business records.
- Project files and communications may be retained during a project and afterwards where necessary for revisions, reference, contractual obligations or legal claims.
- Financial and contractual records are retained for the periods required by applicable law or legitimate business requirements.
When personal information is no longer required, we take reasonable steps to delete it securely or anonymise it.
We do not apply a single fixed retention period to all personal information.
10. Keeping Your Information Secure
We take reasonable technical and organisational measures to protect personal information against unauthorised access, accidental loss, alteration or disclosure.
These measures include using established service providers, managing access to business information and providing encrypted file transfer through Receeva for sensitive materials.
We encourage clients and collaborators to use our secure Receeva link rather than ordinary email when sending confidential or sensitive files.
While we take data security seriously, no method of electronic storage or transmission can be guaranteed to be completely secure.
11. Your Data Protection Rights
Under UK data protection law, you may have the right to:
- Access | Request a copy of the personal information we hold about you.
- Rectification | Ask us to correct inaccurate or incomplete information.
- Erasure | Request deletion of your personal information in certain circumstances.
- Restriction | Ask us to restrict how your information is processed.
- Objection | Object to certain processing, including processing based on our legitimate interests.
- Data portability | Request that certain personal information be provided to you or transferred to another organisation.
- Withdraw consent | Where we rely on consent, withdraw it at any time without affecting the lawfulness of processing carried out beforehand.
These rights are subject to applicable legal conditions and exceptions.
You also have rights relating to certain solely automated decisions that have legal or similarly significant effects. We do not use personal information to make such decisions.
To exercise your rights, please contact hello@yardbstudios.com.
We will respond in accordance with the applicable legal requirements.
12. Questions and Complaints
If you have any questions or concerns about how we handle your personal information, please contact us in the first instance.
Email: hello@yardbstudios.com
We will consider any privacy complaint and respond in accordance with our obligations under UK data protection law.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection regulator.
